ACCOMMODATION

Reservation:
In order to secure an accommodation suited your needs and wishes, you are encouraged to book as soon as possible and advisable before 17 May, 2008. Please note that there is no hotel accommodation within walking distance to the Conference venue, but the official Conference hotels are located in the city centre of Copenhagen. A limited number of triple bedrooms are available. If you require a triple bedroom, please contact DIS Congress Service in writing, stating all names and the arrival and departure dates.

The Congress Bureau offers hotel accommodation at specially reduced Conference prices. Delegates who want to book hotel accommodation should indicate the preferred hotel on the hotel reservation form. Reservations will only be valid after the deposit has been received. Please note that reservations are made on a first-come-first-served basis and will be allocated at the time of receipt of deposit payment (per room) by the Congress Bureau. If the hotel of your choice is not available at the time of booking, the closest alternative will be allocated.

Hotels:

All official Conference hotels are located in the city centre of Copenhagen. This gives the participants a good opportunity to experience Copenhagen by night as well as extending their stay in connection with the Conference. Please pay attention to the estimated travel time from the assigned hotel to the venue. A detailed description of the hotels will be given later.

Deposit:

Reservations of hotel rooms must be backed up by a deposit payment, which is equal to the first night stay. The deposit serves as a guarantee to the hotel for the first and/or the last night and will be deducted from the participants’ hotel bill upon checkout. Please note that the hotel is legally authorized to charge the entire booked stay in event of no-show.   

Changes:

All changes must be made to DIS Congress Service Copenhagen A/S in writing, and not to the hotel.

Cancellation:

In case of cancellation or changes: Up to 9 May 2008 the deposit will be refunded - less a hotel-processing fee of DKK 400 (54 €); from 9 May and up to 1 June 2008, the deposit will only be refunded - less a hotel-processing fee of DKK 400 (54 €) – if DIS Congress Service is able to allocate the room to another guest. From 1 June 2008 no refund of hotel deposit will be made. The reservation for first and/or last night can also be paid with a valid credit card. Please note that all hotels are legally authorized to charge the entire stay as booked by the customer.
